A general project proposal template
For any other service, start from this structure and make every section about the client:
[Project name] proposal Prepared for [client name] by [your name], [date] 1. Where you are now [Two or three sentences in the client's words: the problem, what it costs them, why now.] 2. What we'll achieve [The outcome, measurable where possible: launch date, leads, hours saved.] 3. Scope of work [What you'll do, step by step.] Not included: [what's out of scope, so there are no surprises]. 4. Deliverables [Each thing the client receives, in what format.] 5. Timeline Phase 1, [dates]: [what happens] Phase 2, [dates]: [what happens] Final delivery: [date] 6. Investment Option A, [name]: [what's included] [price] Option B, [name]: [what's included] [price] Payment: [deposit]% to start, the rest [on delivery / by milestone]. 7. What I need from you [Access, content, feedback within X days, one point of contact.] 8. Terms Revisions: [number] rounds included. Extra changes: [rate]. Ownership: [rights transfer on final payment]. This proposal is valid until [date]. 9. Next steps Reply to approve, and I'll send the contract and the first invoice. We can start on [date]. [Your name] [Email] [Portfolio link]
How to write a proposal that wins the project
- Start with their problem, not your bio. Show you understood the brief before anything else.
- Make the outcome concrete: a launch date, more leads, fewer hours of admin.
- Be precise about scope, including what's not included.
- Offer options rather than a single take-it-or-leave-it price.
- Make yes easy: one clear next step, and a date the offer is valid until.
Proposals vs marketplace bids
On Freelancer.com and Upwork the first message is a short bid, not a document. Use our Freelancer proposal template for that, or the free AI proposal generator, and send the full proposal once the client replies.
Frequently asked questions
- What should a project proposal include?
- The client's situation and goals, your scope of work and deliverables, a timeline, pricing (ideally two or three options), what you need from the client, key terms such as revisions and payment, and a clear next step.
- How long should a freelance proposal be?
- A client proposal document is usually one to three pages. A bid on a marketplace like Freelancer.com or Upwork should be much shorter, about 100 to 200 words; send the full proposal once the client replies.
- What's the difference between a proposal and a contract?
- A proposal sells the project: what you'll do, why, and for how much. A contract is the binding agreement once they say yes. Many freelancers send the proposal first, then a contract that repeats the agreed scope and terms.
- Should I offer more than one price?
- Often, yes. Two or three packages let the client choose how much to invest instead of deciding yes or no, and the middle option tends to feel like the safe choice.
- Can I generate a proposal for a specific client?
- Yes. Paste the client's brief into our free AI proposal generator and it writes a tailored version in about 20 seconds.
